Job Summary:

  • The senior associate would be required to work in a team environment in delivering and managing the administrative needs of the projects for stakeholders

Essential Functions of the Job:

Key requirements

Project management support

  • Put together project plan and provide weekly updates

  • Follow up on outstanding actions

  • Keeping team updated on movements and changes

  • Flag risks and concerns


  • Set up DNA in EYHP content management system

  • Retire/expire and archive old content

  • Manage select approval aspects

Newsletter/leadership communication support

  • Template creation and management (Outlook)

  • Support select content creation (e.g. new hires list - names and photos)

  • Manage select approval aspects

  • Email layout setup & editions

  • Distribution

  • Chasing/following up basic people stories and creating an initial draft

  • Sending out Q&As for completion

GLMS Support

  • List modification

  • Authorization changes

  • Updating process documents

Webcast Support

  • Calendar planning (coordinating dates in the diary)

  • Logistics – room bookings, IT support, webcast booking form and briefings

  • Project co-ordination/management

  • Provide replay information and links post event

  • Manage invoicing and payment

SharePoint, CHS and EYHP

  • Updating pictures, elements of text

  • Managing links and removing/fixing broken ones

  • Downloading metrics and putting them into template

  • Posting HRS-related job postings to the HRS SharePoint site

  • Managing requests to join Yammer and SharePoint sites

  • CKR to SharePoint transition – managing certain aspects

Mailbox management

  • Email set up

  • Sending out emails

  • Monitoring inbox for feedback and questions – responding/forwarding to appropriate person/following up that response has been sent

  • Archiving

  • Transition from Lotus Notes to Outlook – setting up shared mailbox

Mailbox calendar management

  • Organize placeholders for various meetings

  • Issue invitation and call details

  • Manage invite updates/cancellations


  • Budget/WIP reports

  • Invoice processing

  • Handling invoicing & payment for 3rd party vendors

Design support

  • Working with the GSS on design of communication assets for toolkits

  • Liaise with Creative Services team for general design support eg getting PPT files made

  • file-naming conventions and style-guide related details


  • Survey creation and data analysis

  • Working with SCORE (making content edits based on their feedback

  • Setting up and managing toolkits
