The opportunity

The HR Shared Services Supervising Associate schedules, administers, and monitors the day-to-day activities of staff members in accordance with established department and firm policies, procedures and service level agreements.

The Supervising Associate is responsible for training, developing and motivating staff.

Your key responsibilities

  • Schedules, administers, and monitors the day-to-day activities in the HR Shared Services Center in accordance with established department and firm policies, procedures and service level agreements

  • Trains, develops and motivates staff including setting performance expectations and providing regular performance feedback

  • Participates in the recruiting and evaluation of new staff as necessary

  • Supervises resolution of internal/external issues in a high volume, fast-paced and deadline driven environment

  • Challenges existing processes and approaches and provides innovative suggestions; implements opportunities that improve operational efficiency, effectiveness, internal controls, and/or customer service

  • Assists with special projects as requested

Analytical/Decision Making Responsibilities

  • Participates in projects or initiatives

  • Responsible for creating and maintaining work stream procedures

  • Utilize metrics and standards to evaluate performance

  • Recommend new systems and system enhancements including testing and implementation

  • Challenges existing processes and approaches and provides innovative suggestions; implements opportunities that improve operational efficiency, effectiveness, internal controls, and/or customer service

Supervision Responsibilities

  • Performs duties and responsibilities with very limited supervision from Department Manager / high degree of independence and autonomy

  • Understands the firms’ business and organization structure and is a subject matter resource on the operations of the department (including interactions with other departments

  • Uses sound judgment in applying concepts and guidelines; provides guidance in analyzing and resolving complex issues; determines root causes of issues and recommends solutions; follows through on commitments and takes ownership for personal and team results; effectively prioritizes assignments; identifies and overcomes barriers to achieve results

  • Understands the expectations of customers and implements standards for delivering quality customer service; supervises service delivery that meets or exceeds customer’s needs within policy guidelines; resolves issues that impact the delivery of quality service

  • Communicates with and influences department Manager, Human Resources Shared Services Center (HRSSC) leadership and key customer contacts;

  • Demonstrates basic overall leadership skills; exhibits a positive can-do attitude and approach to responsibilities; demonstrates commitment to the job

  • Develops and maintains effective working relationships within the HRSSC and with key operational contacts; supports an environment that promotes effective teamwork and collaboration

Skills and attributes for success

  • Understands the firms’ business and organization structure and is a subject matter resource on the operations of the work stream (including interactions with other work streams); requires broad knowledge of human resources policies and procedures.

  • Advanced proficiency with Firm standard technology including Windows, Excel, Word, Lotus Notes, Intranet,

  • Case Management tools/tracker, and other APT related applications

  • Anticipates clients’ needs based upon trend information and client dialogue.

  • Identify and resolve client issues to proactively achieve quality service. Develop work stream procedures and effectively train staff to minimize disruption of services.

  • Demonstrates effective verbal and written communication skills

To qualify for the role, you must have

Education:

  • High school diploma or equivalent work experience required.

  • Bachelor’s degree preferred

Experience:

  • Minimum of 5 to 7+ years of progressive supervisory/managerial work experience

Other Requirements:

Working hours, flexible work arrangements and time off may be limited during specific times due to business demands. All overtime must be approved in advance.
