Position summary:

Many different groups across EY prepare external, cross-border communication materials. To make sure we take every possible step to protect and enhance our brand, we need to deliver consistency, accuracy and quality in all of our materials. To help us achieve this, we have a compliance and quality review process in place called SCORE (System for Communication Oversight, Review and Evaluation).

This process enables the review and approval of materials by a team of reviewers who focus on different aspects of our content. This ensures that our content is accurate and appropriate and promotes our global positioning and visual identity. The process itself is managed by our Area SCORE teams.

  • The associate (ADMIN Coordinator) would be required to work in a team environment in delivering the administration needs and support BMC SCORE.

  • This individual will follow a defined delivery process and tool set to ensure a consistent level of service.

  • The role requires someone who can manage a number of concurrent activities, with strong multitasking, prioritization, organizational and time management skills.

Key responsibilities:

To be successful in this role, the incumbent will be expected to:

  • Administrating the system to ensure the reviews of SCORE materials are correctly routed according to specific reviewer workflows profile.

  • Monitoring the status of system to track progress of submitted materials and liaise with content submitters and reviewers as appropriate.

  • Respond promptly and efficiently to customer queries, maintaining on-time delivery times, SLA and submissions

  • Acting as the primary interface between the users and service delivery units.

  • Must have good communication written and verbal skills in English

  • Should be good at multitasking, time management and should be responsive

  • Provide reports and data on a timely basis, as and when required

  • Able to communicate well with the customers through email, skype, phone and video call conference

  • To adhere EY’s Information Security practices.

  • To report Information Security incidents.

Skills & Attributes:

The scope of SCORE administration includes but not limited to the following:

  • Confirm the material is routed to the appropriate reviewers

  • Regular monitor and reporting of the SCORE online system to t rack progress and metrics related to submitted materials

  • Liaise with the content developers and reviewers, as appropriate, to ensure smooth review

  • Respond to queries from the content developers and the reviewers

  • Inform advance notices of the upcoming submissions to the reviewers

  • Update the reviewers regarding their pending reviews

  • Validate the Leadership, so the submission receives EYG no. upon completion of the reviews.

  • Update regarding online tool and documents; such as reviewer matrix, exception list etc.

  • Upload leadership and other reviewer approvals received via email

  • In case of IT system errors, inform IT team and manage the review process via mailbox

  • Provide new reviewers and submitters with introductory training on using the online tool

  • Update online work-flows, business rules and reviewer teams as appropriate in the Global SCORE online tool

Education:

  • Graduate / Post Graduate/ MBA

Experience:

  • 1.5 -3 years of experience.
