Job summary

As Senior Executive Assistant, you'll provide high-level administrative support to client-serving partners and Core Business Services executives. You may also give service line or engagement-specific administrative support. To achieve this, you'll use advanced administrative skills, demonstrate consistent executive presence, and handle personal contacts with finesse and diplomacy. You'll also relieve top executives and engagement teams of administrative tasks, collect and analyze data and make recommendations.

In this role, you'll develop broad and comprehensive experience, skills and knowledge in organizational policies, procedures and practices. You may also help facilitate and coordinate projects and deadlines directly or through others. You'll work independently, and carry out special assignments, with minimal supervision.

Responsibilities

  • Plan and manage complex meeting and domestic and international travel arrangements. This will involve gaining an in-depth knowledge of the firm's meeting, travel and expense policies and tools

  • Accurately process time and expenses in the firm’s proprietary system and/or Deltek in a timely and efficient manner

  • Skillfully use EY’s standards, templates, branding and correspondence guidance, to format and edit letters and other documents from draft to client-ready stage

  • Coach and act as a knowledge champion, to help reinforce EY’s record retention and other policies and tools

  • Coordinate engagement-related or other administrative work, confirming high quality and timely delivery. Share leading practices

  • Act as a knowledge resource in the use of Outlook calendar management

  • Manage or coordinate small projects, providing cost-effective approaches

  • Use your strong working knowledge of relevant firm and service line quality, risk, and confidentiality policies and guidelines, notifying appropriate individuals should issues arise

  • Reinforce the wider use of the policies and guidelines

  • Prioritize work by considering its risk, importance, urgency, and potential business, organizational, and client implications

  • Work independently in a teaming environment

  • May facilitate the set-up of project plans

  • Gain advanced skill with the firm's core technology and applications

  • Serve as a coach and mentor to others

Knowledge and skills requirements

  • English language skills - excellent written and verbal communication

  • Excellent interpersonal and collaboration skills

  • Ability to interface with personnel at all levels directly or virtually

  • Strong attention to detail, with a commitment to high quality work

  • Demonstrated record of sharing knowledge with colleagues

  • Competent at understanding and navigating firm and service line structures, matrix relationships, key personnel, and policies and procedures

  • Proven ability to take the initiative and focus on customer service

  • Aptitude for learning quickly

  • Highly skilled at working with financial management associates, schedulers, and other internal resources. Ability to collaborate on finance, scheduling, or other operational support matters and related tools/reports

  • Competent at resolving complex problems, with strong analytical skills, and proficiency in research techniques

Experience

  • A minimum of 5 or more years of related business experience

Education

  • Associate degree, or appropriate formal training in a related discipline, or equivalent business experience
