CIS Cluster Real Estate Leader

Real Estate Services is responsible for a number of areas including property acquisition and disposal, management of all capital projects related to Real Estate and any capital project over $1m.

The CIS cluster Real Estate Leader (CREL) role is responsible for supporting the Real Estate team in the provision and effective leadership of EY’s real estate in the CIS cluster comprising c.37,000 m² of occupied office space across 25+ locations in the CIS cluster.

The opportunity

The CIS Cluster Real Estate role is required principally to lead on all property acquisition projects across the cluster. This work includes the expansion of offices, relocation of offices and renegotiation of existing leases. This also includes the management of all lease amendments working with Real Estate legal counsel. Furthermore the role will be responsible for Leasehold management and accuracy or reporting. The CIS Cluster Real Estate role reports into the CESA Regional Real Estate Leader.

The CESA Regional Real Estate Leader is responsible for the implementation and execution of the Real Estate Servives strategy, supported by the CIS Cluster Real Estate Leader who will work with both internal and external parties to deliver on business requirements and strategically manage the portfolio.

Your key responsibilities

  • Leading management of transaction projects

  • Main point of liaison and management or our brokers and lawyers to deliver transactions for the CIS cluster including agreeing strategy, delivering detailed heads of terms, effective due diligence and all approvals in the process including risk, independence and business sign off

  • Act as an initial point of contact for the business related to day to property matters to ensure effective delivery in line with business objectives and wider firm and Real Estate Services strategy

  • Regular formal updates to the CESA Real Estate Leader as Strategy leader for the CESA region but the expectation is the delivery of each project within the scope noted will sit with CIS cluster Real Estate Leader

  • Managing the existing property portfolio

  • Overall management of all property related matters for the CIS cluster properties including all sub-letting and lease variations including the legal documentation required to support these

  • Manage the relationship and delivery of any outsourced building management contracts and liaison with Facilities Management where applicable.

  • Act as a point of contact (internally & externally) for all technical property related matters and acting as the subject matter expert on our leasehold obligations

  • Manage all leasehold information on databases and reports as required including the management of Tririga:

  • Ensuring that accurate information is provided to maintain the Tririga database and independence systems such as BRET

  • Monitoring critical dates within the portfolio and flagging up potential opportunities and risks to the CESA Regional Real Estate Leader as required

Finance and reporting

  • Lead on the preparation and monitoring operational expenditure budgets for property in the CIS cluster (including rent, building charges etc), sub-tenant income and provisions (including but not limited to dilapidations and vacant property)

  • Ensure that all expenditure aligns with operational budget and ensure exceptions are raised in a timely manner with Leadership, CESA Regional Real Estate Leader and the Area Real Estate Leader

  • Monitoring the financial and operational compliance of those parties employed by EY to manage service charge and building operations (eg. managing agents)

Relationship Management

  • Develop & maintain strong business relationships both internally and externally with the ultimate aims of ensuring business alignment and extracting maximum value for the benefit of all stakeholders and ultimately the firm

  • Participate in regional and global initiatives and develop a network of contacts (both internally and externally) to ensure best practice and market initiatives associated with real estate and FM operations are continuously brought to the attention of senior management.

Performance Management

  • Ensure effective metrics are in place to enable accurate analysis and reporting on all real estate operations thus enabling a proactive continuous improvement programme.

Business Continuity Planning

  • Support as required in the planning, updating, implementation and recovery phase of the Real Estate element of the firm's Business Continuity Plan in the combined regions; this may include liaising with all FM contractors and sub-contractors involved in the provision of the services to EY across the firm’s regional property portfolio

To qualify for the role you must have

  • Experience in managing property in a large partnership or financial institution of comparable size and complexity and within a regional and/or global environment.

  • Knowledge of real estate and property management including for example, portfolio management, project/space planning and management of programmes to time, budget and quality.

  • Experience of acquisition of new offices at a scale appropriate to EY and specifically in the CIS cluster.

  • Statutory Compliance: Good understanding of statutory compliance and Real Estate legislation

  • Codes of conduct: Good understanding of related codes of conducts (eg. RICS), and general statutory compliance (eg, Health & Safety)

  • Professional qualifications: Diploma or degree level in a relevant subject or professional membership of relevant governing body.

Ideally, you’ll also have

  • At least 5 years’ experience in a similar role with another multi-national or global organisation

  • Experience in working across borders with dynamic teams and leveraging outsourced services providers to deliver on transactions and projects
