About the opportunity

In your role as a GCO Workflow Coordinator you’ll be responsible for:

  • Overall management of the administration of GCO Assist portal

  • Reviewing and considering emails and attachments

  • Referring queries to appropriate legal counsel, answering queries directly, referring query to other appropriate EY personnel (eg, RM) or referring person to relevant policy or EY resource

  • Checking file management system to ensure query has not already been received or similar query not already being worked on

  • Maintaining database of allocations and ensuring it is kept current

  • Electronic filing all GCO Assist correspondence into GCO Document Management system.

  • Corresponding with clients/legal counsels via email to enable tasks to be actioned

  • Assisting with any other queries received by internal clients and allocating to the relevant legal counsels

  • Conducting client searches in response to document production requests

  • Supporting the GCO Team to ensure that the team’s internal processes run smoothly including liaison with document management system vendor and EY IT team

  • Record keeping and administrative support for Company Secretary, Business Names and Trade mark filings

  • Upkeep of the lease register and the crisis management folder – scanning and saving into GCO Document Management system

  • Upkeep Deed of Releases in Deed Safe - scanning and saving into GCO Document Management system

  • Ensuring documents are filed correctly, conducting periodic reviews and archiving of documents

  • Co-ordinate GCO Legal Community Site- Refresh webpages annually maintain and update GCO webpages – following up with legal counsels assigned to the relevant webpages for amendments and uploading pages onto SharePoint

  • Preparing monthly rosters for On-Duty Solicitor

  • Set up GCO training for new joiners and on boarding into GCO Document Management system for all new starters

  • Recording and keeping new Partner Joining Deeds in the Deed safe

  • Helping to manage offshore services provider

  • Ensuring critical documents are saved into EY’s Crisis Management system

  • Participate in GCO team meetings and contribute to the team strategy and business plan

  • Other tasks related to the GCO Assist portal from time to time

About you

We’re looking for people with the following experience:

  • Tertiary qualifications and/or at least 3 years’ experience in high level administrative role

  • Experience in a professional services environment is highly regarded

  • Experience in a legal environment is preferred

  • Completion of Business Administration course advantageous

  • Strong communication skills including telephone manner and interpersonal skills

  • Excellent attention to detail

  • Excellent time management and prioritisation skills essential

  • Demonstrates initiative and willingness to learn

  • Ability to work proactively and independent of others advantageous

  • Flexible and proactive team player

  • Strict confidentiality and discretion

  • Strong written English skills
