Location: McKinley West, Taguig City

Position Summary:

  • The Senior Associate works in a team environment, delivering and managing the administrative needs of the US learning –Talent team part of EY’s Brand, Marketing and Communications function.

  • The BE CE team provides end-to-end communications support and strategic leadership communications to Business Enablement functions.

  • The individual will be part of an extended virtual team, working with people primarily in the US.

  • They will manage a mixture of ongoing tasks, project based work, and one-off requests.

Overall Years of Experience:

  • 5 to 6 years of work experience

  • At least a year of experience working in a team environment is preferred

  • At least 2 to 3 years of working as a Project Coordinator/Project Administrator

Essential functions of the role:

Ongoing tasks

  • Manage stories - Daily News Alerts (DNAs) - in content management system

  • Newsletter/email support

  • GLMS support

  • BE Shared mailbox management – inbox and calendarIntranet site maintenance – SharePoint and CHS

Project management support for activities such as:

  • Webcasts

  • Events (mainly virtual - ThinkTanks, Skype meetings)

  • Intranet transition projects – CHS to SharePoint

Ad-hoc work

This will vary, but may include activities like:

  • Survey creation and data analysis

  • Scheduling video shoots

  • Setting up and managing toolkits

  • Liaison with Creative Services team for design support

Skills required to perform these tasks include:

  • Project management – including putting together and driving project plans and providing updates, including movements and changes

  • Monitoring BE shared mailboxes - responding/forwarding emails to appropriate person, following up that responses are sent, archiving

  • Creation of email and newsletter templates, error checking, distribution management, archiving (Outlook)

  • Maintaining GLMS lists and associated process documents

  • Managing select approval aspects of communications including stories, emails and documents. Following up on outstanding actions, flagging risks and concerns

  • Intranet site maintenance including updating pictures, elements of text, removing/fixing broken links

  • Obtaining intranet metrics and updating monthly template

  • Managing requests to join Yammer and SharePoint sites

  • Events (virtual eg ThinkTanks, Webcasts) – manage invitation process, capture questions, manage interactive elements (polling), create post event reports, send out Q&As for completion, collating feedback

  • Webcasts / events logistics - room bookings, IT support, fill out booking forms, provide replay information and links post event, update post event documentation, handling invoicing and payment for 3rd party vendors
