We are looking for an energetic individual who has a passion for learning and an eye for detail, to join our EY Canada Learning Team. We have an opening in our group for a position as a learning coordinator working with the Assurance service line in Toronto.

Position description

The Learning Coordinator (LC) assists with the coordination and logistics of service line and local classes. The LC also supports the EY Leads Learning Management System activities, including submitting courses / classes, managing rosters, drafting and distributing learner communications, and facilitating course / class evaluations.

This role works with the service line learning teams and course sponsors to provide agreed-upon support for all classes. This role also works closely with the Learning Services Specialist (LSS).

Some of the more specific tasks of the role include:

Learner administration

► Identifying target learners and forecasting the number of classes, participants, facility location, timing, session counts, and general course planning

► Respond to learner non-subject matter questions (e.g., class location)

► Direct learners to appropriate resources as required

► Participate in planning calls with LSS

► Responsible for keeping the Canadian Learning Calendar and Sharepoint site updated

Instructor support

► Meet instructors at start of class, provide contact information, and check on class during lunches and breaks

► Available and accessible to instructor for troubleshooting and support prior to, during and after class

► Maintain Instructor database / tracking sheet

► Prepare and distribute instructor “thank you’s”, per each service line’s program

EY Leads (Learning Management System)

► Course and class submission

► Monitor completion of course pre-work

► Support and train other staff as required

► Continuing Education (CE) & CPAB compliance


Work with GDS to:

► Create and manage distribution and collection of class evaluations

► Create evaluation summary reports and distribute to Learning Leader for review

► Distribute evaluation summary reports to facilitators

► Draft facilitator performance reviews for submission

Facilities and technology

► Request and confirm:

Ø facilities and set-up specifications, including off-site as needed

Ø catering, as needed

Ø technology needs

On-site and off-site classroom support

► Visually confirm room is set-up

► Deliver, unpack, and distribute class materials

► Coordinate day-of-class requests

► Coordinate support needs

► Respond to instructor matters, such as delays and identification of no-shows

► Provide sign-in sheet, collect, verify completeness and submit copy to EY Leads LAS

► Prepare forecast of number, size and set-up of classrooms needed to support classes and breakouts

► Collaborate with the LSS on the logistical planning and delivery of classroom events

► Off-site accommodations and management of on-site support staff

► Manage registration for major events via registration database and provide reports to stakeholders

► Liaise with Strategic Sourcing and meeting room bookings

► Greet instructors and participants upon arrival

Materials administration

► Order course materials for distribution, handling electronic and printed copies as needed

► Obtain supplies for the class when requested

Registration and roster management

► Submit courses and classes in EY Leads

► Update and manage rosters

► Manage cancellations, travel and reschedule as approved per policy

► Address late registrations/cancellations

► Continuously work with Experience/Resource Management and LSS to ensure schedules are kept current of any changes

► Run reports and manage list of required training as needed

Learner communications

► Work with GDS on communications including:

Ø Invitation / Welcome emails to participants, instructors and guest speakers

Ø Registration confirmation / logistical details

Ø Reminders / Confirmations for upcoming courses / pre-work

Ø Enact cancellation and travel procedures

Ø Participant travel emails

Ø Learning updates


► Work with Learning Liaisons / Champions for learning delivered in offices where there is no LSS or LC

► Participate on calls for the Service Line’s Learning Team

► Participate on LSS / LC Monthly Best Practices calls


► Process invoices (coding & authorization)

► Monitor invoices related to courses and review with Learning Leader


► Gather / compile preliminary information for budgets and review with Learning Leader

► Review invoices and ensure accuracy of coding before sending for approvals and payment

► Advise Learning Leader if any accruals are needed

SpecialTraining Projects

► Assist with National and Firm-wide training as needed

Knowledge and skill requirements:

  • Interest in learning and development

  • Proficient in Excel (filters, vlookups), LotusNotes / Outlook, Word and Powerpoint

  • Strong attention to detail

  • Strong analytical, organizational and projectmanagement skills

  • Excellent communication and interpersonal skills

  • Ability to build and maintain trustedrelationships

  • Willingness to work in a team environment

  • Ability to manage multiple prioritiesindependently during peak times

  • Ability to take initiative and think throughnext steps / prioritize items to complete

This position may require overtime during peak times and to set up and clean up after courses, or where we have receptions and the LC is needed to stay and assist.
