The opportunity
As an In-office Support Specialist, you will be part of our EY Law LLP team to provide our clients with integrated, quality services. You will provide in-office administrative support to our staff and business Immigration services to multinational clients who recruit employees to work and live in the U.S.
Your key responsibilities
As an In-office Support Specialist, you will provide day-to-day support to the staff, senior and management team in various administrative aspects of U.S. business immigration client accounts. Additional responsibilities may include providing support for billing processes and reviewing invoices for accuracy.

Arranging and monitoring couriers
General filing of client documents and file retrieval
Printing, photocopying and scanning correspondence and documents
Assisting our mailroom staff in scanning packages
Responsible for implementing and managing administrative processes in support of our clients and resolve administrative issues and concerns
Effectively and efficiently manage multiple projects and competing deadlines with minimal supervision
Adapt to changing priorities and remain flexible to meet in-office support needs, take initiative and anticipate what is required to accomplish various goals
Demonstrate an ability to understand and follow specific, detailed instructions
Demonstrate a team-oriented approach and demonstrate strong interpersonal and written/oral communication skills
Strong administrative skills, mature business sense, and ability to perform in a dynamic, time-sensitive environment
Excellent organizational and time management skills
Excellent attention to detail with demonstrated ability to understand the big picture
Ability to interact effectively with others while working under pressure with tight timelines
Possess initiative, good judgment, as well as the ability to handle confidential information
Eager to learn new technologies and further develop existing technology skills
May be requested to leverage technology to digitally compile documents via PDF
May be requested to implement edits in letters and government forms
Prepare letters for team to government authorities and clients
Providing ad hoc support to team members when working on projects, document production, etc.
Gather, modify, create, maintain and/or track data and reports
Attend weekly meetings as scheduled, may also be required to work extra hours during important deadlines (such as month ends, quarter ends, and year ends)
Responsible for escalating administrative issues and concerns
Reconciling government application fee expenses
To qualify for the role you must have
High School or College diploma in Communications, Writing, Law or Immigrant Studies (preferred)
Demonstrated interest in working in an administrative capacity at EY
Experience working in an office setting, performing administrative tasks
Demonstrated analytical skills
Demonstrated teaming abilities
Demonstrated organizational and time management skills
Ability to work in fast-paced environment
Flexibility to adapt to changing priorities
