We are looking for a capable professional to combine finance support responsibilities with administrative tasks (the latter similar to the role of Personal Assistant). He / she will act as the right hand of one of our partners in the Advisory division of EY. The position is meant to provide day to day support, allowing the Partner to fully focus on the business aspects of the job, while the operational and administrative follow up of the ongoing projects is covered in a professional and thorough manner.

An important part of the role will be dedicated to specific tasks, supporting the partner’s consulting activities:

  • Create new clients in the system

  • Draft contracts/client proposals using existing EY templates

  • Input and update contact details in the system

  • Support with submitting timesheets and expense notes

  • Support with follow-up of projects from A to Z:

  • Insert data in internal CRM tool and adjust as needed

  • Follow-up on contracts and other official documents

  • Monitor client hours and expenses

  • Assist with preparation of invoices and follow-up of collection

Moreover, your job will include, in a lesser degree, administrative tasks:

  • Manage agenda & email

  • Arrange travel and accommodation for business trips

  • Organize various internal and external meetings

  • Handle incoming calls

  • Act as a back-up to other management assistants in the team

  • Various related administrative and support tasks as required.

The skills and experience we are looking for:

  • Degree in a relevant field or equivalent by experience

  • Experience (3 – 10 years) in a similar support role (finance assistant, executive assistant, management assistant, personal assistant, team assistant, office manager)

  • Fluency in Dutch / French, and solid level of business English

  • Excellent knowledge of the MS Office package (Word, Excel, PowerPoint, Outlook)

  • Good communication skills and proactive attitude

  • Hands-on and well organized, sense of responsibility, eager to learn

  • Experience in a professional services firm, in a law office or in the financial services industry is a major differentiator.
