The EY internal procurement function is responsible for all indirect procurement within a $33bn global company. Historically the procurement function has been aligned in a category structure that focuses on addressing the main areas of spend within IT, Travel, Real Estate and Products and Services (P&S). P&S has recently gone through a transformation project to become globally aligned per category and as such the facilities category is now moving into Real Estate to deliver and end to end workplace solution to EY Member firms.
The total spend under management within Real Estate is in excess of $2bn and the function is considered a key strategic partner to the EY member firms.
Due to the recent changes to the organisation, we are now in need of a procurement analysis of whom will form an integral part of the newly formed workplace procurement team (WPT) of whom specialises in facilities and real estate procurement.
In support of the UK&I and Nordic regional category lead, this role will be responsible for developing a analytic and support function initially for the two stated regions with the possibility to expand the role globally. Some of the key functions and outputs are;
Ø Ensure contracts are correctly stored within EY’s contract management data base and kept up to date.
Ø Maintain an accurate contract register with extracted data that is critical knowledge such as key terms, liabilities, penalties, fixed spend under contract etc.
Ø Communicate and share critical dates, risks etc. to the workplace procurement lead
Spend Analytics, Benchmarking and Reporting
Ø Analyse spend under contract vs. spend invoice and produce a variance report
Ø Clarify spend anomalies with internal finance, workplace procurement lead and or suppliers for validation and accuracy
Ø Develop benchmarking metrics that highlights variance in costs and services between countries managed by the Workplace Procurement Team
Ø Maintain project savings data and consolidate information for management reporting
Ø Cost savings and avoidance – collation and compilation of management reporting of savings planned, achieved and costs avoided
Ø Cleanse reporting data to ensure consistent quality of information
Ø Ensuring the consistency of procurement projects by overseeing the utilisation and deployment of category toolkits
Ø Provide support to the WPL(s) in market analysis, trends and insights
Ø Develop a knowledge bank of historical procurement projects to include market rates and benchmark data
Ø Implement a lessons learnt data base per country on core procurement activity
Ø Some opportunities may arise to provide more direct procurement support within RFP’s to the Regional Workplace category lead.
Ø Excellent Excel skills – knowledge of formulas, lookups, pivot tables, ability to manipulate and summarize significant amounts of data into a usable format
Ø Excellent PowerPoint skills - complex information must be simplified and presented consistently to standards expected by Executive stakeholders
Ø A working understanding of Procurement and commercial management
Ø Very good relationship, interpersonal skills and cultural awareness
Ø Self-starter, and ability to work independently
Ø Solid analytical skills
